Re-Enrolment

To maintain the status of your enrolment with CHS, you must enrol in each of the compulsory semester periods. Failing to do this, will result in cancellation of your enrolment and also CoE (International students only). Enrolments must be finalised by the census date for each semester. Failure to do so may result in Academic and/or Financial Penalties. You are also advised to read your Course Study Plan carefully, to ensure that you understand the Course Structure, Pre-requisites and Co-Requisites. Lastly, please ensure that you pay your tuition fees on time before the due date.

Choosing Units of study

You must plan your course carefully by following the course study plan given during the enrolment session. In case of any doubts or questions, please seek support from the CHS Course Advisors. Please ensure you check unit availability during the semester you wish to enrol.

Modifying your enrolment

You can make changes to your enrolment until the CHS enrolment session ends. For any changes to your enrolment after the enrolment session ends, you will need approval from your Course Coordinator prior to applying for change of enrolment. For domestic students, it is compulsory to enrol in atleast 1 unit of study in order to maintain a part-time study load. If you are an overseas student, you must ensure that you are enrolled in a full-time study load in each semester of study to comply with the conditions of your student visa and Confirmation of Enrolment.

Please Note: If you are an overseas student and wish to reduce your study load, the same can be done only under compassionate/compelling circumstances. For any such requests, you will need to consult your Course Coordinator, or with Student Services to discuss your options.

Census Date

Census date is the official date to finalise your enrolment. In case of, Withdrawal from Units, Applying for Study Break or Discontinuing from the course, after the Census date will incur financial penalties.

Change of Enrolment

The following changes to your enrolment, such as, ‘adding, dropping, swapping’, applying for leave ‘Leave of Absence’, withdrawal, or transferring to another course, can be done at anytime until the enrolment deadline. Any changes after the enrolment deadline require special approval from the Academic team or Student Services Manager. Please remember that you are required to finalise your enrolment by the Census Date.
In special circumstances, your request to change your enrolment after the census date might be approved. To be considered under special circumstances, please submit your request and the nature of your situation to the Student Services team.

  • Modifying your study load

In case your request for consideration for reduced study load is approved, you should contact the Department of Home Affairs to discuss your change in circumstances which may require a student visa extension and CHS Student Services as your may require an extension of your Confirmation of Enrolment.

  • Variation to CoE (confirmation of enrolment)

    In case of a part-time study load or failing to successfully complete a Unit (s); you may not be able to complete your course within the duration of your CoE. In such situation, you can request an extension by consulting your Course Coordinator for academic reasons; or with Student Services for welfare reasons.

    If you have been granted Advanced Standing units post issuance of your CoE, we will automatically adjust the duration of your study and reflect this change in your CoE.

    It is important to always keep track of your student visa validity, and lodge a student visa extension with the Department of Home Affairs, well in advance of your student visa expiration. Please contact Department of Home Affairs website for further information.

  • Leave of Absence

    If you wish to apply for leave of absence, you must submit your application to Student Services before the census date. Applications submitted after the census date will attract academic and financial penalties. You can apply for a leave of absence for a period of up to 1 year. If you have already taken 1 year Leave of Absence and require further extension, you will need to withdraw from the course and re-apply to the course once your circumstances change.

    If you are an overseas student, your request for Leave of Absence will be considered only if you have compassionate or compelling reasons (serious medical reasons, loss or bereavement of a close family member, hardship or trauma). Leave of absence for Overseas student visa holders will be reported to the Department of Immigration. Leave of absence beyond six months, for any reason, may result in cancellation of your student visa. Applications for Leave of Absence must be accompanied by the following supporting documents (whichever may apply):

    • a medical practitioner’s certificate (including psychologist or psychiatrist) stating that the student is unable to attend classes and is advised to take study leave;
    • Death certificate in cases of bereavement of close family members (e.g., parents, siblings or grandparents);
    • Emergency travel arrangements required in case of a natural disaster or state of emergency in the student’s home country;
    • Police or psychologist’s reports following involvement in a traumatic experience (serious accident, or being the victim of a serious crime)
  • Course Withdrawal

    For domestic students, you can submit a course withdrawal request at any time before or after the census date. If you are enrolled at the end of the census date, you will be financially liable for your fees and may incur academic penalties. The college will repay any payment of the student’s contribution amount or tuition fee for a unit of study that the person made on or before the census date for the unit if the person is no longer enrolled in the unit at the end of the census date. Please be advised that if you wish to withdraw in order to change the provider or transfer to another course within CHS, you should consult the Student Services team for further information.

    In case of a change of education provider, you are required to furnish evidence that you have been accepted to study at the other provider by submitting your offer letter from the new provider along with your course withdrawal form.

    Overseas students are required to complete at least 6 months of study at your principal course provider before you can move to another provider. Principal course refers to the most recent course you are enrolled in, for which you were granted a student visa. You will need to provide a statement of reason, supporting documents, and a copy of the offer letter from the new provider at the time of submitting your application for withdrawal.
